The Administrative Assistant III for the Convention & Visitor's Bureau and Economic Development performs administrative duties to provide efficient operation of the Department.
Reports to the Convention & Visitor's Bureau and Economic Development Directors.
PRINCIPAL DUTIES AND RESPONSIBILITIES ESSENTIAL FUNCTIONS-Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills.

Essential duties and responsibilities may include, but are not limited to, the following:
Makes limited delegated policy and procedure interpretation within the specific areas authorized by the Department.
Conducts transactions with Department Heads, other employees or proper agencies requiring detailed knowledge of rules, procedures, policies, precedents, and activities; supplies information involving facts and interpretations.
Provides exceptional customer service support for the departments with the ability to get along with other employees and the public in a professional and friendly manner, both in person and on the phone.
Assists the Directors with administrative duties as well as project management and event support/coordination.
Maintain high confidentiality at all times.
Operates various types of office equipment i.
e.
copy machine, personal computers, and other departmental machines.
Performs data entry; maintains and updates spreadsheets; uses spreadsheet data to generate various documents as required or assigned.
Prepares invoices, reports, memos, letters, and other documents using word processing, spreadsheet, database, and presentation software.
Conducts supply inventories; creates requisition forms for material and supply purchases; confirms deliveries, receives invoices, and processes receipts for payments.
Updates and manages Department personnel files including license and certification information.
Assists with making travel arrangements for staff; prepares and distributes approved travel vouchers and information packets to employees.
Performs duties in a safe and orderly manner, complying with all City and department safety rules.
Regular attendance at work and arrives on time.
Ability to work or report back to work as called during a manmade or natural disaster.
Drive/operate a company vehicle or personal vehicle for travel to and from work related events.
Performs related duties as assigned or as become apparent.
PHYSICAL AND ENVIRONMENTAL CONDITIONS PHYSICAL DEMANDS AND WORKING ENVIRONMENT Work is performed in a standard office environment.
Employee must occasionally lift up to 50 pounds.
REQUIRED QUALIFICATIONS MINIMUM QUALIFICATIONS Education, Training, and Experience Guidelines High school diploma or GED equivalent AND one to three (1-3) years of customer service or clerical related experience; OR an equivalent combination of education, training, and experience.
Knowledge of:
Applicable local, State, and Federal laws, codes, regulations, and ordinances.
General office policies, procedures, and practices.
Records maintenance and retention practices and procedures.
Customer service principles, practices, and etiquette.
Microsoft Office applications.
Skill in:
Operating a personal computer and standard office equipment.
Interacting tactfully and professionally with City staff, outside agencies, and the public.
Organizing work and setting priorities to meet deadlines.
Working on multiple tasks simultaneously and be well organized.
Typing and entering data with speed and accuracy.
Maintaining accurate records and filing systems.
Preparing clear and concise reports.
Communicating effectively both verbally and in writing.
Establishing and maintaining effective working relationships.
REQUIRED CONTACTS Employee has direct contact with citizens and all levels of employees when answering inquiries, taking messages, and directing referrals to the proper departments.
Employee works as a receptionist, answering inquiries, processing information, or making referrals to the proper staff person.
LICENSE AND CERTIFICATION REQUIREMENTS? Must possess a valid State driver's license.

Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
